The Children’s Medical Services program is seeking an Admin Assistant for its Athens Clinic. This position performs a wide variety of clerical duties: Patient intake, verifying documentation and Medicaid/insurance for program eligibility, and entering data into a computerized patient record system. This position prepares quarterly reports of patient and clinic data utilizing Excel and a clinical computer record system. Spreadsheets are used to process purchases orders, invoices, and medical bills, for accounting, and tracking expenditures. The applicant should have the ability to communicate with medical supply vendors, billing departments, and patient families. This position also requires maintaining business office supplies and place orders. Serve as backup to answer main phone line as needed.
As an Administrative Assistant within the Children's Medical Services at the Georgia Department of Public Health, you will join a dedicated group of public health professionals that help support the overall mission and vision of protecting lives of Georgian residents in a variety of ways.
Job Responsibilities
You will support the Department by utilizing your expertise to fulfill the following responsibilities:
- Patient Intake
- Clerical duties such as entering data into a computerized patient record system
- Verifying Medicaid/insurance information for program eligibly
- Responsible for locating, doing inventory on, and price-shopping items requested/needed for purchase, and processing Purchase Orders (creating, recording in a spreadsheet, matching incoming packing slips and invoices, scanning for Accounting, recording check date and number when Accounting has paid the bill, scanning final packet with payment info).
- Process annual financial paperwork.
- Prepare recorders before each clinic, send dictations to the transcription service, and print and save copies of transcriptions for nurses when ready (see Dictation and Transcript attached).
- Prepare and send Quarterly Reports.
- Answers main phone line when needed.
- Maintaining business supplies and placing orders
- Communicates with patients and their families.
- Communicates with departments such as medical supply vendors, and billing departments.
Minimum Qualifications
High school diploma/GED and three (3) years of job-related experience; or one (1) year of experience required at the lower level Admin Assistant 1 (GST050) or position equivalent
Preferred Qualifications:
Strong Excel spreadsheet skills. Medical office experience. Finance/bookkeeping experience.
Annual salary $39,500, plus generous benefits include 13 paid holidays, annual and sick leave, health insurance, and retirement plans.
